How to Select the Right IT Tools to Automate Repeating Tasks

Automating repetitive tasks can significantly improve efficiency and productivity in your business. Automation can impact all areas of your business from operational tasks to customer service, HR, social media, marketing, and sales. Ready to start to automate? Let's look at some criteria you might follow to select the right tools.

1. Identify Repeating Tasks

Make a List: Create a comprehensive list of all recurring tasks within your business. Traverse your various areas of business and look for anything that you or your staff do repeatedly. Examine your day and all the workflows you regularly participate in, are there any tasks that you do regularly based on an incoming action?
Prioritize: Consider in these repetitive tasks, how long do some of these take you? Even a few seconds can add up to minutes or even hours over weeks and months. Recapturing your time is your goal. For example, when a customer places an order, do you manually create an email to acknowledge it? This is a basic, but good example of a task that could be automated.

2. Assess Task Complexity

Simple vs. Complex: Evaluate whether the tasks are relatively simple or involve complex workflows and decision-making. Use flow chart software to do some process mapping and see how information flows in and out of the various workflows and what actions trigger various events.
Data Requirements: Consider the amount and type of data involved in the tasks. Consider triggers that would create the action.

3. Research Available Tools

Online Resources: Explore online marketplaces, software review websites, and vendor websites. If the tasks involve a SaaS product, they might be an add-on or plug-in that could automate various functions of their system.
Consider Features: Look for tools that offer features specifically designed to automate the identified tasks.
Integration Capabilities: Check if the tools can integrate with your existing software systems.

4. Evaluate Cost and Benefits

Cost-Benefit Analysis: Weigh the potential cost savings and increased efficiency against the cost of the software. Sometimes the project might require the hiring of a consultant to help you set up the automation. Consider these costs as well.
ROI: Consider the return on investment (ROI) that the automation tool can provide. To calculate the savings, determine how much time the automation will save, and how much will your production increase because of this change.
Hidden Costs: Be aware of potential hidden costs, such as implementation fees, training requirements, and ongoing maintenance. Some vendors will only give you a shell to work with, requiring you to hire a consultant to fine-tune or build API’s. Be sure to know the ins and outs of the price structure and what they will be providing you.

5. Consider Scalability

Growth: Ensure the tool can handle your business's growth and increased workload. And will that growth and increased workload increase costs?
Flexibility: Choose a tool that can adapt to changes in your processes and requirements. This could include seats//licensing to overall capability to customize and adapt to the ever-evolving world of your business.

6. Evaluate Ease of Use

User-Friendliness: Consider how easy it is for your team to learn and use the tool.
Customization: Assess the tool's ability to be customized to your specific needs.

7. Test and Pilot

Trial Periods: Look for free trials or demos to test various solutions. I do a lot of this; I love trails as they let me see if something will work before committing to purchase.
Pilot Projects: Conduct pilot projects to evaluate the tool's effectiveness in automating specific tasks. Within your team, find a group that might be impacted most by this new tool. Have them test it and provide you with feedback to help optimize it for their use.

8. Monitor and Optimize

Performance: Regularly monitor the tool's performance and identify areas for improvement. Interview the staff as they use the tool to find gaps in the processes or ways to improve the performance.
Adjustments: Make necessary adjustments to the automation process to maximize efficiency. These things take some time to fine-tune. I like to think of them as always under development as the business will always be changing as you grow.

By following these steps, you can effectively select IT tools that automate repeating tasks and streamline your business operations.
